Creating a Notice from a template

A notice is a form of communication that is used for less urgent community updates when compared to alerts. These are usually published in advance of an event or scheduled maintenance work. Notices can be created from a template or from uploading a file.

View Notices

Navigate to Notices.

Click Communicate then click Notices.

Creating a Notice from a template

To create a Notice from a template, click New Notice. This will open the create Notice workflow. There are seven stages that are detailed below.

Community

At the Community stage you will decide which communities receive the notice. Click Select Communities to open a dropdown menu. Select the desired communities from this list by checking the appropriate box(s) and then clicking off the dropdown menu or the up arrow to return to the Community stage.

Click Next to continue to the Template stage.

Template

Click your desired template to select. A preview of the template will open to help you verify the correct template was selected.

Click Next to continue.

Message

Enter a Notice Header, Notice Description and the Body of the Notice. The Header and Description will appear in the email communication and the mobile app but not the notice itself. As you type the Body of the Notice you will see it appear in the preview.

Click Next to continue to the Audience stage.

Audience

Here you can decide who receives the notice.

Click the Target Audiences box to open the dropdown menu.

Click the boxes corresponding to the desired group\types\club\users. You may choose one or more or each. After checking the desired boxes click off the drop down or click the up arrow to return to the Audience stage.

Click Next to continue.

Visibility

You can choose to display the notice on the Mobile App or not. This option is enabled by default. If you do not wish to display the Notice on the mobile app, click the Display on Mobile App slider icon to disable.

By default, your Notice will be displayed until you remove it. If you would like to set a start and end date for your Notice, click the Permanently Displayed slider icon. You can set the dates by clicking the small calendar icons or by typing in the date.

Click Next to continue to the Notification stage.

Notifications

The notification will be sent when the notice is posted. You can disable the notification by clicking the slider icon.

Notification Types can be chosen if you would like your residents to receive the notice by other means, such as SMS or Push Notification. The email option is mandatory for the primary notification so you will not be able to uncheck it. Simply check the boxes for SMS or Mobile if desired.

You can also set the time that the notice will be sent. Click the time box to open a clock to set a new time.

PLEASE NOTE: There is an additional cost to the community for each

SMS message sent.

You may choose to send an additional notification either before or after the notice is released. To send an additional notice, click the slider icon to enable. This will open additional options for the notification.

Click the small calendar icon to set the release date.

Click the time box to set the release time.

Check the boxes for the desired notification types.

Click the Additional Notification message box to add the message.

Click Next to continue to the Review stage.

Review

At the review stage you will be able to preview the Notice one last time before sending. If you are satisfied with the notice, you can either send it or save as a draft.

  • Submit Notice will send the notice off to the selected users or schedule it to be sent at the specified time and date.

  • Save Notice as Draft will save the notice, but not send or schedule it. You can view your drafts under the draft tab of the notices page in step one.

After saving or submitting your Notice you will now be brought back to the main Notices page. If you chose to Submit your notice it will be listed on this page. If you chose to save it as a draft it will be listed on the drafts tab.

What happens to expired notices?

After the Notice end date has passed, the Notice will be moved to the Expired Tab.

Deleting a Notice

To delete a Notice, click the ellipsis icon and click Delete.

Once deleted the Notice will be moved to the Deleted tab.

If a Notice is deleted in error, it can be restored by clicking the ellipsis icon and then Recover.
