The Reservation system will manage all of your community's venue bookings. Reservations will be made by residents through the mobile app but as an Admin you have the ability to create, edit, and delete them as well. The system will allow you to quickly view all existing reservations from a calendar view or list view.
Navigate to Reservations
Click Reservations.
Making a manual reservation
Sometimes you may wish to manually create a reservation on behalf of a resident, for example a front desk employee may reserve a venue on a resident's behalf.
Click New Reservation.
Venue - Click to select the desired venue from the dropdown menu.
Reserved By - Click to select the resident for which you are making this reservation.
Date - Click the Calendar Icon on the Date field to select the reservation date.
Reservation Time - Click the fields to open the clock pop up. Choose the desired times and click OK. The venue's available time will be listed under the date field.
Accepts Terms of use Policy - you can use this toggle to record that the resident has accepted the terms and conditions.
Click Reserve.
Viewing/Editing reservations
To view reservations via the calendar you must first select the desired communities to display. Click the Select Community filter box to open a dropdown of available communities and check the box(s) for all desired communities. Reservations for the selected communities will now be displayed.
To view future reservations in list form, click the Future tab.
To view past reservations in list form, click the Past tab.
Edit a Reservation
As an admin, you can edit any reservations made by residents. To edit an existing reservation:
Calendar view
To edit an approved reservation, click the reservation you wish to edit. Be sure to set the community filter to display the reservations.
This will open the reservation in a popup window in a read-only format. To edit the reservation click Edit, make any desired changes and then click Save. The reservation will be updated.
You can also cancel the reservation by clicking, Cancel Reservation.
List view (Future)
To edit an approved reservation, click the Eye Icon in the list view.
This will open the reservation in a read-only format. To edit the reservation click Edit, make any desired changes to the reservation, and then click Save. The reservation will be updated.
You can also cancel the reservation by clicking, Cancel Reservation.
Approving/Declining a reservation
Calendar View
Clicking on a Peach colored Reservation in the Calendar view will open the pending reservation. This will allow you to edit, approve, decline, or delete the reservation.
Approve
Click Approve to approve the reservation request.
The reservation popup will stay open. Simply click off the popup to return to the calendar view.
The Reservation's color on the calendar view will have changed from Peach (Pending) to Blue (Approved).
Decline
Click Decline to decline the reservation.
When declining a reservation a reason must be included. Type your reason for declining in the Text Box and click Submit & Decline.
The reservation popup will stay open. Simply click off the popup to return to the calendar view.
The Reservation's color on the calendar view will have changed from Peach (Pending) to Red (Declined).
List View
Approve
Click the Future tab to view the reservations in a list view. Click the Blue Check to Approve a reservation.
The reservation Status will change from Pending to Approved.
Decline
Clicking the Red X will decline the reservation.
When declining a reservation a reason must be included. Type your reason for declining in the Text Box and click Submit & Decline.
The reservation Status will change from Pending to Declined.
View Cancelled/Declined Reservations
Calendar View
To view cancelled or declined reservations from the calendar view simply click the Status filter and select the desired status. Be sure to set the community filter before selecting the status.
List View
To view cancelled or declined reservations from a list (future) view simply click the Status filter and select the desired status. Be sure to set the community filter before selecting the status.
Frequently asked questions
How can I block out a certain time?
If you need to block out a particular time so residents can't book, you can either:
Edit the venue time settings (good for ongoing restrictions)
Make a manual booking yourself (good for a once-off occasion)
Disable bookings for that venue completely (yet still display the venue)
